Overview

The Auto Account Code Generation feature ensures that each organization has a unique code, preventing duplication and reducing errors in finance management. This feature is available in Organization Management settings.

Enabling Auto Organization Code Generation

  1. Navigate to Organization Management settings.
  2. Locate the setting Auto Organization Code Generation.
  3. If not enabled, go to the Organization List, open an organization → edit orgisation, and select Enable under Organization Code.
  4. Clicking Enable will redirect you to the settings page where you can configure the Auto Organization Codes.

Configuring Auto Organization Code Logic

Once enabled, you must define the logic for generating codes. The available logics include:

  • Random Alphanumeric Code: Generates a unique alphanumeric code for each organization.
  • State-Based Code: Assigns a code based on the state. Example: Texas (TX-001, TX-002).
  • City-Based Code: Uses the first two or three letters of the city name.
  • Source-Based Code: Derives the code from the default source assigned to the organization.
  • Name-Based Code: Uses the first three letters of the organization's name.

Setting Up Series Configuration

Once a logic is selected, the Series Configuration needs to be set up.

  • Example: If you choose State-Based Code, you can define the starting number and leading zeros.
  • If California is selected, and the starting number is 100 with two leading zeros, the code will be CA00100.
  • Each subsequent organization in California will follow the series: CA00101, CA00102, and so on.

Regenerating Organization Codes

  • After saving the configuration, click Regenerate for All to generate codes for organizations without a code.
  • Once generated, the Organization Code field becomes non-editable and can only be auto-generated.
  • If required, an individual organization’s code can be regenerated by editing the organization details and selecting Regenerate.

Example Scenarios

  1. Switching to State-Based Code:
  • Change the setting to State-Based Code.
  • Update the state of an organization to California.
  • Click Edit Info > Regenerate, and the code updates to CA00100.
  1. Creating an Organization via NPI:
  • Search for a hospital using NPI.
  • If the state is California, upon creation, the code will be assigned based on the existing sequence.
  • The system might take a few minutes to generate the code.

Bulk Regeneration

  • Choosing Regenerate for All will only update organizations that do not already have a code.
  • Organizations with existing codes will remain unchanged.

This feature ensures that all organizations have a unique and structured identification code, improving efficiency and accuracy in organization management.
